Setting Up Profiles

Overview

Profiles are predefined sets of permissions that determine which modules and features users can access within the system. They provide a streamlined way to manage access controls by grouping permissions into reusable configurations that can be assigned to multiple users.

Out of the Box Profiles

The system comes with four predefined profiles to help you get started:

  • Administrator: For system managers who need complete control over all system functions and user management.
  • AI Designer (Previously known as Collaborator): For team members who need access to AI-powered design and analysis capabilities including AI Design Studio submodules.
  • Uploader: For staff responsible for uploading new content while having view-only access to system data.
  • General User (Previously known as Reader): For stakeholders who need visibility into accounts and reports without any editing capabilities.
  • CRM Integration Users: For organizations integrated to CRM via a Managed Package. Administrators can enable or disable AI Assist Chat.

Module Definitions

Each module has an Access toggle, enabling a module grants access based on the permission type described below:

AI Assist Chat

When disabled, the AI chat interface is hidden across the entire platform for that profile.

Managing Profiles

Administrators can use the Profiles section to manage profiles by specifying access to modules.

In Profiles, you will see a list of profiles that have already been created. In the table, you have the ability to:

  • Sort columns
  • Filter columns
  • Search for a profile
  • Export the profiles list to Excel
  • Add more columns to the table

Additionally, you can create a New Profile and/or edit module access for an existing Profile.

 

Actions in Profiles

As an Administrator, in the Profiles section, you can manage Profiles using the following actions:

  • Create new Profile
  • Edit a Profile
  • Delete a Profile

Create a Profile

You can manage Profiles and provide your organization users with access to necessary modules.

To create a Profile

  1. Click Add new profile.

  2. In the form, type Profile Name.

  3. Under AI Credit Spending Controls, toggle Allow Contract AI Credit Usage on or off depending on whether this profile should be able to spend Contract AI Credits.
  4. Under Module Access, enable the desired modules. The Permission Type is automatically applied based on the module. By default, a new Profile will have AI Assist Chat, Accounts, and Reporting enabled.
    • For AI Design Studio, you have the option to enable specific submodules individually rather than granting access to all.
  5. Click Create Profile.

Edit a Profile

Modify the profile information, such as the Module Access and AI Credit Spending Controls so that the users have the right access to modules.

To edit a Profile

  1. In the table, hover over the Profile name that you want to edit. A pop up text appears against the row of the Profile.

  2. Click View/Edit Profile. The form populates all the information of the profile.

  3. Update the profile details and click Save Changes.
