Email Notifications

The Contract Request module has a built-in email notification functionality to keep users informed about important activities related to contracts. These email notifications serve as a means of communication and provide updates on various contract-related activities.

Email Notifications are sent to users or relevant parties to inform them about updates or any required actions related to a contract. The table displays who receives email notification:

The email notifications are interactive with Request details wherein, users can do the following actions:

  • To learn more about the contract, click the Request Number link.

  • To reply about a query/information on a contract, click the Reply button and add your comment. Click Submit.

  • To approve/deny a request, click the Approval / Deny button respectively. Add your comment and click Submit.

NOTE:

  • Email links and buttons will navigate user to the appropriate application (either the CRM application or the Pramata application) based on where the user has an active account.  
  • For users with access to both CRM and Pramata platforms, email links and buttons will navigate user to the appropriate application based on their user Permissions: 
    • If user’s Permission Level = Requestor: Email links will direct the user to the CRM Platform
    • If user’s Permission Level = Legal Team Manager, Legal Manager, or Legal Admin: Email links will direct the user to the Pramata Platform

Tracking Request Status

Viewing / Tracking from Contract Request Module in Pramata Platform

You will receive email notifications informing you of any status updates to all your submitted Contract Requests. Use the email to access the Contract Request module and track the status of your requests. Learn more about Email Notifications here.

Additionally, to view and track any status update to your contract request from the Contract Request module:

Navigate to the Queue menu and click the Open Request tab. The table displays all contract requests submitted by you and view the Status column to track the status of the request. To view more details on a contract request, click a contract request.

Note that, in the Open Request tab, the access levels for each of the Profiles mentioned below.

Profile Access Level
Requestor Access requests submitted by you.
Legal Team Manager Access requests submitted by you and all requests assigned to you.
Legal Admin Access all the open requests irrespective of requestor or assignee.

 

Viewing / Tracking from Document Family in Pramata Platform

Navigate to Document Family in your Pramata Platform and click the In Flight Contract Requests tab.

The tab displays all the contract requests that are linked to the Account. All requests are displayed in a table format with all the basic details. Here, you can do the following actions:

  • To navigate to that contract’s request summary where they can see the status of the request, drafts, comments, and approvals, if any, click anywhere on the contract request row.

  • To view more details in the table by adding columns, click the Add additional fields icon.

  • To export all the requests to an excel, click the Export icon.

Viewing / Tracking Request Status in Salesforce CRM

As a Salesforce User, you will receive email notifications informing you of any status updates to all your submitted Contract Requests. Use the email to access the Contract Request module and track the status of your requests. Learn more about Email Notifications here.

Additionally, in your Salesforce CRM you can track and view the status of your requests from the Open Request tab.

Closing a Request

Closing a contract request involves finalizing the negotiation and approval process and formally ending the request. For more information about closing a request, refer here.

Viewing History of a Signed Contract

Navigate to Document Family in your Pramata Platform and click the Signed Contract tab.

Using the Signed Contract tab, you can access Pre-Signature History. For any contracts that go through Pramata’s pre-signature functionality, can access all that history after the contract is signed from the main Document Family view. Clicking on the link will navigate a user to that contract’s request summary where they can see all previous drafts, comments, and approvals.

Frequently Asked Questions

Q: Where do links in contract request notifications open?

A: Pramata automatically determines the best system to open your link in based on your setup — no manual selection needed. If you only use CRM, links open in CRM. If you only use Pramata Platform, links open in Repository. If you use both systems with the same email, Pramata checks where you have greater visibility and opens the link there.

 

Q: How does Pramata decide which system to use when I have both CRM and Pramata Platform?

A: Pramata compares your access level in each system and opens the link in whichever gives you more visibility into requests. For example, if you can only see your own requests in CRM but can see all requests in Pramata Platform, your links will open in Repository.

 

Q: Can I control which system my links open in?

A: No manual selection is needed or available — Pramata handles this automatically based on your access and visibility in each connected system.
