Security Changes on Pramata Platform

We have now implemented Multi-Factor Authentication (MFA) to add an extra layer of protection to your Pramata account. To enhance your account security, a Verification Code will be sent to your email when logging in. Simply enter this code after your password to successfully access your account.

NOTE: This implementation does not apply to customers accessing Pramata via Single-Sign On or through their CRM integration.

Introducing Integrations Hub: A Centralized Integration Management Platform

Introducing the new Integrations Hub module within the Admin Console, that makes it easier to connect Pramata to external applications and services.

The updated menu replaces the old section called ‘Integration Settings’ when you opened up the Admin Console.

Integrations Currently Available In this New Menu:

  • Single Sign-On (SSO) Setup
  • Initiation of Contract Requests via Microsoft Outlook 365

Dynamic Date Filters Now Available in Search Results!

Following the success of our dynamic date filters in reporting, we're thrilled to extend this powerful feature to your search results! With our latest release, you can now enjoy the same convenience and efficiency when filtering search results based on dynamic date ranges. When the predefined options fall short, customize your date range effortlessly.

Enhanced Document Family View (Beta)

** Accessible to a limited group of customers in April 2024. This feature will be made widely available to all customers later in 2024. **

We've improved the chronological document hierarchy view to provide a more seamless understanding of the sequence of documents, even when a parent document is missing.

Instead of moving documents to a separate "Unable to Locate Parent Document" category, we now create dummy placeholders in the exact position where the missing parent document should be. These placeholders are visually distinct, with italicized text and a different color, to indicate the absence of the actual document.

By keeping the documents in their proper chronological order, even with placeholders for missing parents, you can now grasp the flow of document transactions more easily. Previously, documents with missing parents were tucked away in a separate category, making it harder to visualize the complete sequence.

This enhancement ensures a clearer representation of the document hierarchy while still acknowledging any gaps in the chronology. You'll find it easier to understand the context and relationships between documents, even when a parent is temporarily unavailable.

 

Pre-Signature Enhancements

Introducing Enhanced Document Linking for Seamless Request Closure!

Exciting news! We've upgraded our request closure process to give you more control over your contract information. Previously, when closing a request, you were limited to linking documents with an Effective Date later than the Contract Request Date. Now, with our latest upgrade, you have the power to select contracts even older than the Contract Request submission date.

Launch Contract Request Directly From Outlook

We're excited to announce a new enhancement that makes initiating contract requests easier than ever. With the latest update, users can now simply click a link within Outlook in Office 365 to instantly open a create new request page.

But that's not all – once the form is submitted, notification emails will be dispatched promptly, ensuring smooth communication and efficient handling of requests.

Note that, currently we support only Desktop and Web Application of Outlook in Office 365.

Configuring Contract Request Add-in in Outlook

For Admin users managing integrations with Pramata, we've provided clear documentation to guide you through the process of installing the Outlook Add-in. Simply navigate to the Integrations Hub within the Admin Console, follow the easy steps, and enable your users to submit contract requests directly from Outlook. It's that simple!

Auto-generate Contract in Word or PDF

We've enhanced our contract auto-generation capabilities by introducing template-based dynamic generation in Word or PDF formats. Now, when configuring auto-generation settings in the General tab, you can choose the output format that best suits your needs:

PDF (non-Editable) - Generate a read-only PDF version of the contract, ideal for sharing finalized documents that cannot be modified.

DOCX (Editable) - Generate a Microsoft Word document (.docx) version of the contract, allowing you or your recipients to make edits as needed.

This gives you flexibility to choose the most appropriate option while sharing auto-generated contracts.

Enhancement in Form Components

File Settings - Supported File Types

Do you only want your users to submit Microsoft Word documents and not PDF versions? No problem, you can now control that with this new capability. With Supported File Types, you can easily dictate the allowed file extensions right from your Settings menu. Simply set your preferences, and voilà – any files not matching your specified patterns will be blocked from upload, ensuring a streamlined and secure experience for your team.

Data Settings - Allow Manual Override of Calculated Value

This setting puts you in control, allowing you to override calculated values with your own inputs. By default, field values cannot be entered manually when a calculation is applied. Activate this option to allow users to override calculated values with their own data inputs seamlessly.

For instance, let's consider the "Total Contract Value" field, which is typically calculated by summing up various components like base fees, recurring charges, and any applicable discounts.

By default, this field would automatically calculate the total value based on the inputs provided for each component. However, if the "Allow Manual Override" option is checked, users can override this calculated value and input their own figure.

For example, if there's a negotiation with the client resulting in a special one-time discount that isn't reflected in the standard calculation, the user can manually enter the adjusted total contract value. This ensures flexibility in situations where manual adjustments are necessary due to unique circumstances or exceptions not covered by the standard calculation rules.

Document Family & Reports: The Effective Date would not match for the same contracts seen in both Document Family and Reports. The issue is now fixed.
Document Family: The default sorting of Effective Date and Pramata number is not applied and replicated on the exported document family hierarchy. The issue is now fixed.
Admin Console > Document Management: The term "Splitted" was confusing and unclear making it difficult to understand the purpose of the category. We have renamed the 'Splitted' category to 'Split' for consistency and clarity.

Contract Requests > Queue > Create New Request: When user types in the 'Account' field, the search box disappears, and the list of options that should appear doesn't show up properly. The issue is now fixed.
Contract Request > Queue: Account name was not editable for a Contract Request if there was a change in Account Name. The issue is now fixed.
Contract Request: The terminologies "Requester Name" and "Submitted By" were identical in the Contract Request process, causing confusion among users. To ensure consistency, we have renamed the term to "Submitted By".
Contract Request > Queue: An unidentified error occurred when attempting to filter and sort the ‘Open Request’ table. The issue is now fixed.
Contract Request > Queue > Doc Version & Attachments > Add Office 365 File: When a user shares a OneDrive/SharePoint link without entering the Display Text, the filename appears blank. The system will now display the SharePoint Link if the Display Text is missing.
Contract Request > Settings > Auto Assignment Rules: An error occurred when creating a new auto-assignment rule with "Assign to" set to "Unassigned". The issue is now fixed.
Contract Request > Queue > New Request: Users are experiencing difficulty distinguishing between selectable future dates and inactive past dates within the calendar interface. We've made a change so that past dates on the calendar look grayed out. This helps you know they're not selectable, making it easier to see which dates you can choose.
