Brand New, Improved AI Assist Experience

Note: This update only applies to GenAI enabled customers.

We've redesigned the AI Assist experience and made it the first thing you land on when going into an Account—making it easier to get answers from contracts and use AI capabilities while reducing interface clutter.

Key Features

AI Assist tab is the first tab a user will land on when they navigate to an Account.
Welcome message added to give users some tips on how they can chat with the documents.
All documents automatically selected so you can start researching immediately.
Visual indicators show AI capacity limits (page count) so you always know AI capacity constraints before starting.
Only Five AI Agents displayed by default to declutter the user interface, with expand option to access additional Agents.
Favorite Agents feature – each user can now favorite their most-used agents to keep them at the front for faster access.

Enhanced OCR Icons

We’ve updated the OCR file icons within the Document Management module. Here are the changes:

Clear Labeling: The icon now includes the characters “OCR” to make it very clear what you’re accessing.
Color-Coded Status Indicators:
- Blue: Standard OCR text file
- Gold: Structured OCR text file (optimized for documents with tables and complex layouts)
- Grey: OCR file not available. This either happens if the document quality is very poor, or if the document is out of scope.

Note: Only one OCR icon will appear per document. Pramata prioritizes providing customers with the Structured OCR text file whenever available.

Improved Contract Start/End Date Editing Guidance

We've enhanced the user experience for Admin users who need to update contract start and end dates by adding clearer guidance directly within the interface.

What’s New

Clearer Direction for Date Updates: Previously, users encountered a greyed-out pencil icon in the Contract Term & Renewal section without guidance on how to actually edit contract dates. Now, a helpful tooltip appears when hovering over this icon, directing users to the correct location for making these updates.
Enhanced Tooltips in Key Areas:
- Contract Term & Renewal Section - New tooltip message: "To update Start Date or End Date, navigate to the Doc Imported Metadata Key Term and update either 'External Start Date' or 'External End Date'."
- Doc Imported Metadata Section: New tooltip explains the impact of date changes: "External Start/End Date fields override contract Start/End Dates. Date changes may affect Contract Status."

AI Agents Now Available Within Contract Request Forms

Accelerate your Contract Request process with AI Agents that can lookup information in Repository, evaluate attachments against compliance checklists and provide immediate answers to requesters, reducing unnecessary steps!

Key Capabilities

Real-time Evaluation: Agents can be configured to evaluate requests against internal guidelines and provide instant responses during the request process.
Repository Lookup: Agents can retrieve and look up information from the Repository and display back results inside of Contract Request forms.
Intelligent Forms: Outputs from AI Agents can populate fields inside of Contract Request forms. Through this capability, you can make Request Assignation or Approvals more intelligent.
AI Agents Accessible via Contract Requests Initiated via MS Outlook, Salesforce, or MS Dynamics
Flexible Configuration: AI Agents can be configured from the same place you’re used to (within the AI Design Studio) and updated as needed.

Embedded AI agents instantly surface this critical information during the request process, eliminating rework and accelerating approvals.

Enhanced Contract Status Indicator

Contract Statuses now appear as individual badges instead of connected arrows. This change eliminates confusion and makes it clearer that requests can transition between any statuses based on your workflow needs.

Integrations

Structured OCR Files Now Available Through New API

We've added a new Structured OCR API that outputs text files while preserving the original document's layout. Unlike Standard OCR text file output, which often scrambles text, Structured OCR maintains document structure—crucial for contracts with tables containing product and pricing data. By preserving context during conversion, it enables more accurate AI analysis.

Note: We continue to support the existing OCR API that outputs Standard OCR text. This is a separate and new API.
