Managing the Contract Request Queue

 

Overview

The Contract Request Queue is the central hub where users can manage and track all incoming contract requests. It provides a structured, filterable view of requests throughout their lifecycle—from initial submission through approval, negotiation, and final execution.

This article covers how to navigate the Queue, use views to filter and organize requests, and leverage the new Views feature to create custom, saved filters for more efficient contract management.

At the top of the Queue, three tabs help you quickly segment requests:

  • Open Requests – All currently active requests that have not yet been closed.
  • Closed Requests – Requests that have been completed, cancelled, or otherwise resolved.
  • My Pending Approvals – Requests that are waiting for your approval action.

Each tab displays the count of requests in parentheses so you can quickly assess your workload at a glance. You can also create a new request directly from this page using the Create New Request button. Learn more about how to submit a Contract Request here.

Understanding Views

The View dropdown at the top of the Queue controls which contract requests are displayed. Views act as saved filters, allowing you and your team to quickly switch between different segments of the request queue without manually re-applying filters each time.

With the Custom Views feature, Legal Admins can now control exactly which requests specific Legal Managers can see.

There are three types of views available in Pramata:

Standard Views

Standard views are built into the system and available automatically based on your role. They cannot be modified or deleted. 

Legal Managers can extend their visibility beyond these defaults through views that a Legal Admin has explicitly shared with them. See Shared Views below.

Shared Views (Admin-Controlled)

Legal Admins can create custom filter criteria and share specific views with selected team members. This is the primary mechanism for expanding a Legal Manager’s visibility beyond their default assigned/submitted scope. When creating a shared view, Admins choose whether to share with all Legal Admins (automatic), all Legal Managers, or specific individuals by name—enabling precise, role-aware access control.

For example, an Admin could create an “EMEA Region Contracts” view and share it only with European Legal Managers, ensuring they see only relevant regional requests while other regions’ deals remain private.

Note: Shared views display the name of the Admin who created and shared them, so team members always understand the intent and source of a filtered view.

Personal Views (User-Created)

Any user can create their own personal views using combinations of up to 25 filter criteria. Personal views are private to the creator and cannot be shared with others. They are ideal for frequently used filters that are specific to your individual workflow and are only visible to requests you already have access to.

Creating a New View

The Create New View option appears in the View dropdown at the top of the Queue page. The steps differ slightly depending on whether you are a Legal Admin creating a shared view or a regular user creating a personal view.

For Legal Admins: Creating a Shared View

  1. Navigate to Contract Requests > Queue and open the View dropdown. Select Create New View.
  2. Enter a descriptive View Name (e.g., “EMEA Region Contracts” or “High Priority NDAs”).
  3. In the Criteria section, add up to 25 filter conditions. You can filter by fields such as request type, status, assigned owner, account, priority, and date ranges. Supported operators include equals, contains, starts with, and date comparisons.
  4. Under Sharing Settings, configure who can see this view:
    • All Legal Admins – Enabled by default; shared automatically with all Legal Admins.
    • All Legal Managers – Toggle on to share with every Legal Manager.
    • Specific Legal Managers – Select individual managers by name for targeted sharing.
  5. Click Save. The view is applied immediately and becomes visible to all selected users in their View dropdown.

For All Users: Creating a Personal View

  1. Navigate to Contract Requests > Queue and open the View dropdown. Select Create New View.
  2. Enter a view name and add up to 25 filter conditions.
  3. Click Save. Your personal view is created and visible only to you.

Managing Views

Once views are created, you can manage them directly from the Queue:

  • Edit a View – Modify the name, filter criteria, or sharing settings of a view you created. Open the View dropdown and select the edit option next to the view name.
  • Delete a View – Remove views you no longer need. Only the creator of a view can delete it.
  • Apply a View – Select any view from the View dropdown to instantly filter the Queue. Your last-selected view is automatically saved as your default and re-applied on your next visit.

Key Features

  • Granular Filter Controls: Views support precise filtering with operators including equals, contains, starts with, and date comparisons across multiple field types—text, select, date, number, and checkbox. Each view can combine up to 25 criteria for complex filtering scenarios.
  • Persistent View Preferences: The system remembers each user’s last selected view and automatically applies it when they return to the Queue or access the KPI/Metrics dashboard, ensuring consistent filtering across analytical perspectives without manual reselection.
  • View-Based KPI Analytics: The KPI/Metrics dashboard respects the active view filter, displaying charts and metrics only for contract requests within that view. Users can drill into chart segments via modals showing filtered request details without leaving the dashboard.
