Document Management

Customer Admins can use the Admin Console module to manage Pramata application so that they can configure and customize the application best suited for the company.

Pre-requisite: To view Admin Console for your profile, ensure that you have enabled the module Access and Permission Type in the User Management module. To know more about managing profiles, refer here.

The Document Management sub-module is available for administrators to check the status of documents transferred to or received by Pramata from all intake sources.

Document Management

The Document Management sub-module, provides an overall count and a list of documents transferred from different sources to Pramata.

On the Document Management dashboard, you can view:

  • The count of Total Documents received by Pramata along with a pie chart displaying count of documents under each Document Status.

  • The table displays a list of all documents transferred from different sources.

Actions you can take on the Document Management dashboard

View Documents Transferred Based on Document Status

Click the Document Status on the pie chart to drill down further and view documents transferred and it’s details based on their status.

View Additional Details on the Documents

Click the Add additional fields icon to view additional details in the table, such as Document Imported Metadata (Account ID, Account Type, Billing Type, and so on) and Document Metadata (Title, Type, Company Group, Effective Date), External Account Mapping, Business Segment, Date of Transfer, Intake Source. To retain the table preference, use the Set as default columns button as shown below.

Note that, filter options are available on Document Metadata & Document Imported Metadata columns to improve search accuracy and find a specific document.

Access OCR Files

View OCR (Optical Character Recognition) files generated during document processing by accessing the document details. The OCR files are represented by enhanced, color-coded icons that provide clear visual indicators of the file type and availability status.

  • Blue OCR Icon: Standard OCR text file
  • Gold OCR Icon: Structured OCR text file (optimized for documents with tables and complex layouts)
  • Grey OCR Icon: OCR file not available. This occurs when document quality is very poor or when the document is out of scope.

Note: Only one OCR icon will appear per document. Pramata prioritizes providing customers with the Structured OCR text file whenever available. This functionality enables Administrators to review the AI system's interpretation of original documents for validation and troubleshooting purposes.

Filter Documents based on Date of Transfer

Ability to filter documents based on the ‘Date of Transfer’ as a global filter. The default From and To dates are the first document transfer date and the latest document transfer date respectively.

Filter Documents based on Business Categories

Enhance your document management capabilities by leveraging metadata such as geographic region, business unit, and more to help you easily sort and thoroughly analyze all your content.

Filter Documents based on Effective Date

Ability to manage documents based on their Effective Date. For instance, if you need to de-scope a batch of documents, you can swiftly identify older documents by their Effective Date and put them out of scope with precision.

Export Report on the Documents In-taken by Pramata

Download document details transferred to Pramata based on the page you are viewing in the Document Management dashboard. Note that, export is limited to 100k documents. If the export exceeds 100k documents, the exported file link is sent to your email.

Move Documents from In-Scope to Out-Of-Scope

Select and move documents from In-Scope to Out-Of-Scope within the “Not Started” and "Complete" Digitization category. Additionally, leave a comment when marking documents as Out-Of-Scope. This helps understand at a later time why you decided to keep a document out of scope.

Replace Documents with Issues

Documents with Issues (0KB, Protected, Corrupt, Non-PDF) can be replaced with the correct document using the Replace link against the Pramata number. The system will also validate and reject a Replace request, if the document is 0KB, corrupt, or a protected PDF.

Access Original Documents mapped to Duplicate Documents

The Duplicate Document page displays the Pramata number of the Original document mapped to the Duplicate document, along with a PDF icon to access the Original document.
