Pramata's AI Negotiator Installation Guide

Overview

Pramata's AI Negotiator integrates with Microsoft Word to streamline contract drafting, review, and negotiation processes. This guide outlines two approaches for installing the add-in, depending on your organization's IT structure and preferences.

Prerequisites

Before you begin, ensure you have the following:

  • Microsoft 365 Account: An active Microsoft 365 or Office 365 subscription is required. Specific license requirements vary depending on your installation method (see Installation Options below).
  • Pramata Platform Access: You need a license to the Pramata platform with access to AI Design Studio ('Read' or ‘Read & Write’).
  • Add-in Manifest: Download the XML manifest XML file from the Pramata platform (Admin Console > Integration Hub > Microsoft Word).

Installation Options

Installation Option 1: User-by-User Installation (May Require IT Support)

This option is best for organizations where:

  • Only a few users need the add-in
  • IT resources are limited
  • Users are comfortable following technical instructions

Microsoft 365 License Requirements: Any Microsoft 365 or Office 365 license is supported for user-by-user installation.

Note: Individual users may need IT assistance depending on their technical expertise and system permissions.

  1. Download the XML manifest file from the Pramata platform (Admin Console > Integration Hub > Microsoft Word)
  2. Use Finder to sideload the manifest file. Open Finder and enter Command+Shift+G to open the Go to folder dialog.
  3. Enter the following file path:
    /Users/<your-username>/Library/Containers/com.microsoft.Word/Data/Documents/wef
  4. Then create a folder named wef inside the Documents directory if it doesn't already exist.
  5. Copy the downloaded manifest XML file to the above location.
  6. Restart Word application.
    The Pramata Add-in should be available in the Add-Ins section of MS Word, under Developer Add-Ins.

  1. Download the XML manifest file from the Pramata platform (Admin Console > Integration Hub > Microsoft Word)
  2. Create a manifest folder:
    • Navigate to your MS Word folder on your computer
    • Create a new folder and name it "manifest"
  3. Add the manifest file:
    • Copy the downloaded XML manifest file into this new folder
  4. Share the manifest folder:
    • Right-click anywhere in the manifest folder and select "Show More Options"
    • Click "Properties"
    • Go to the "Sharing" tab and click "Share"
    • Select your username and click "Share" again
    • Copy the provided sharing link and click "Done"
  5. Configure Word to trust the add-in:
    • Open Word and click "File" > "Options"
    • Select "Trust Center" > "Trust Center Settings"
    • Click on "Trusted Add-in Catalogs"
    • Paste the URL you copied earlier and edit it accordingly:
      • Remove all text before the first double forward slashes (manifest (file:)
      • Replace %20 with a space
      • Remove any parentheses [either ( or )]
      • Example transformation
        • Original
          manifest (file://2XHG123/Users/John%20Doe/Documents/manifest)
        • Final (expected)
          //2XHG123/Users/John Doe/Documents/manifest
    • Click "Add Catalog"
    • Make sure the "Show in Menu" checkbox is selected
    • Click "OK" twice to close all dialog boxes
  6. Load the add-in:
    • Close and reopen Word
    • Navigate to the "Add-Ins" section
    • Click "More Add-ins" (or "My Add-ins" depending on your Word version)
    • Select "Shared Folder"
    • You should see the Pramata Add-in listed - click on it and select "Add"

AI Negotiator Add In for Word Online

  1. Access the Add-Ins Menu:
    1. Open your document in Word Online.
    2. Locate "Add-ins" in the top menu bar.
    3. If Add-ins is not visible, click the three dots (...) menu to access additional options.
    4. Click on "Add-ins", then select "Advanced".
  2. Upload Your Add-In:
    1. Locate and click the "Upload My Add-In" hyperlink.
    2. A popup window will appear with file selection options.
  3. Select Your File:
    1. Click the "Browse..." button in the popup window.
    2. Navigate to the location where you saved your .xml file.
    3. Select the XML file and click "Upload".

 

Installation Option 2: Organization-Wide Installation (Requires IT Administration)

This option is recommended for organizations where:

  • Multiple users need access to the add-in
  • A centralized deployment approach is preferred
  • IT resources are available for a one-time configuration

Microsoft 365 Subscription Requirements: Your organization must have one of the following licenses to deploy the add-in organization-wide:

  • Microsoft 365 Business Basic
  • Microsoft 365 Business Standard
  • Microsoft 365 Business Premium
  • Office 365 Enterprise (E1, E3, E5)
  • Microsoft 365 Enterprise (E3, E5)

Required Features: Other licenses may be supported. Check if these features are enabled:

  • Exchange Online - Must be included in your subscription
  • Centralized Deployment - Must be enabled by your IT administrator

Note: You must be a Microsoft 365 administrator to complete this deployment method. Before proceeding, ensure "Starting trials on behalf of your organization" is enabled in Settings > Services > User owned apps and services.

  1. Log on to the Microsoft 365 Admin Center with your Global Administrator account.

  2. In the Microsoft 365 Admin Center, navigate to the "Integrated Apps" section under the "Settings" category.

  3. Click the "Upload custom apps" button to begin the process.

  4. On the "Upload Apps to deploy" page, select App type as Office Add-in.

  5. Click "Choose File" to browse and locate the Pramata Add-in XML Manifest file you downloaded earlier.

  6. Click "Next" to continue.

  7. On the “Add users” page, You have a few options for assigning users:

    • Option 1: Just me Select this option when you want to test the Add-in individually. It limits access to only your account, ensuring a controlled testing environment before deploying to other users.

    • Option 2: Entire organization (Recommended) Select this option to make the Add-in available to all users in your organization. This is the simplest and most efficient way to deploy the Add-in.

    • Option 3: Assign to Specific Users/Groups If you prefer to limit the Add-in's availability, click the "Add Users/Groups" button and search for the desired users or groups. Select them from the list and click "Assign" to add them.

  8. Click "Next" to continue.

  9. On the “Accept permissions requests” page, verify the app permissions and capabilities, and click “Next”.

  10. On the “Review and finish deployment” page, review the information and click “Finish deployment”.

  11. On the “Deployment completed” page, click “Done”.

Launching from Word

Once you have successfully installed Pramata's AI Negotiator using either of the options above, refer to the detailed instructions in the AI Negotiator documentation for accessing and using the add-in within Microsoft Word.

Removing Pramata's AI Negotiator

The steps to remove Pramata's AI Negotiator depend on how it was originally installed. You can also hide the add-in from your ribbon in desktop versions of Word without fully removing it.

User-by-User Removal

Use this method if the add-in was installed using Option 1 (User-by-User Installation).

On Mac

  1. Open Finder.
  2. Use Command + Shift + G and enter the following path: /Users/<your-username>/Library/Containers/com.microsoft.Word/Data/Documents/wef/
    (Replace <your-username> with your actual Mac username)
  3. Delete only the Pramata XML manifest file (do not delete other manifest files if present).
  4. Restart Microsoft Word.

On Windows

  1. Open File Explorer.
  2. Locate the manifest folder where the Pramata manifest XML file was saved.
  3. Delete only the Pramata XML manifest file (do not delete other manifest files if present).
  4. Restart Microsoft Word.

Organization Wide Removal

Use this method if the add-in was installed using Option 2 (Organization-Wide Installation). This requires Global Administrator access.

  1. Log in to the Microsoft 365 Admin Center using Global Administrator credentials.
  2. Navigate to Settings > Integrated Apps.
  3. Open the Deployed Apps tab.
  4. Locate the Pramata AI Negotiator.
  5. Click on it and select Remove App.
  6. Confirm the removal when prompted
  7. You will receive a "Successfully Removed" message once the process is complete

Hiding the Add-in from Word Ribbon (Desktop Only)

If you want to temporarily hide the add-in without removing it completely:

On Mac Desktop

  1. Open Word.
  2. Go to Word > Preferences > Ribbon & Toolbar.
  3. Adjust your ribbon tabs and deselect the Pramata tab or add-in.
  4. Restart Word.

On Windows Desktop

  1. Open Word.
  2. Go to File > Options > Customize Ribbon.
  3. From the Main Tabs window, expand Home. Select the Pramata Add-ins and click the Remove button.
  4. Click OK and restart Word.

Word Online

Limitation: Hiding an add-in is not supported in Word Online. You must remove it completely to clear it from your ribbon.

Important Note

  • When removing the add-in, only delete the Pramata manifest file if you use other add-ins.
  • Always restart Microsoft Word after making changes to add-ins.
  • For reinstallation, follow the installation steps outlined above or refer to the official Pramata Installation Guide in the Admin Console.

Troubleshooting & Support

Based on our experience, users may encounter platform-specific challenges during individual installation. 

  • For Mac users: Ensure the wef folder has been created in the correct location
  • For Windows users: Verify the shared folder is properly set as a trusted catalog
  • For all users: Restart Microsoft Word after installation
  • For removal issues: Ensure you are deleting only the Pramata manifest file if other add-ins are present.

How does the AI Negotiator Word Add-In communicate securely with external services?

The AI Negotiator Add-In is designed with security in mind.

Key points:

  • Secure Communication: All communication between the Microsoft Word Add-In and external services is encrypted using HTTPS with TLS.
  • External Endpoints Only: The Add-In communicates only with the following services:
    • Pramata service endpoint (for core Add-In functionality)
    • LLM service endpoint, which depends on hosting setup:
      • If Pramata hosts the LLM: Amazon Bedrock
      • If the customer hosts the LLM: Amazon Bedrock or Anthropic, depending on customer preference.
  • No Other Connections: The Add-In does not connect to any services beyond the ones listed above.

This ensures that all customer data processed through the Add-In remains protected, with network traffic limited to clearly defined, secure channels.
