Contract Editor

 

All Customer Admins with access to Admin Console module will have the ability to manage a Term value from the Contract Summary page when they want to add new data, remove data, or correct any data.

Pre-requisite: To view Admin Console for your profile, ensure that you have enabled the module Access and Permission Type in the User Management module. To know more about managing profiles, refer here.

Steps to Add / Modify Data

  1. Navigate to the Contract Summary page from Document Family. To view Contract Summary, click a document from the document hierarchy. To know more, click here.
  2. Expand the Detailed View section, to see all Terms with or without digitized data.

  3. An edit icon is visible against all the Terms:

    • If the edit icon is grey, the term data is non-editable.

    • If the edit icon is blue, the term data is editable.

  4. If you come across any inaccuracies in the digitized data or you want to add new data, click the blue edit icon against the Term.

  5. The system displays an Editing - <Pramata Number> pop up page, where in:

    • The left half displays the Metadata (Document Title) & Term sections for the selected Term along with details of all the Term values, if available.

    • The right half displays the contract PDF. On the PDF, you can use the Zoom In icon to magnify a specific text that may not be legible in the normal view.

    • A Pramata number of the document is displayed as a Title, to open the contract PDF in a new tab window, click the PDF icon against the Pramata number.

  6. On the Editing - <Pramata Number> page, you have the ability to do the following actions:

    • Add a Term value and capture the Digital Snapshot for a selected Term. Refer here.

    • Edit a Term value and recapture the Digital Snapshot for a selected Term. Refer here.

    • Remove a Term value for a selected Term. Refer here.

Adding Data

  1. In the Term section where you want to add a value, click +Add Row in the header against the Term name.

  2. A blank row is enabled within the Term section, capture the data and Digital Snapshot.

  3. If required, click +Add Row to include another Term value.

  4. Upon closing the window, the page is auto refreshed to show the updated data for a Term.

Editing Data

  1. In the Term section, click the value that needs to be modified.

  2. Make the necessary edits and modify Digital Snapshot if required.

  3. Upon closing the window, the page is auto refreshed to show the updated data for a Term.

Removing Data

To remove any unwanted or incorrect data from a Term:

  1. In the Term section, click the value that needs to be removed.
  2. Against the term value, click the Remove link.
  3. In the confirmation pop-up message, click Yes.
  4. Upon closing the window, the page is auto refreshed to show the updated Term.

Note: Our database records all data changes, capturing the 'who' and 'when' for complete transparency and accountability.

 

Contract Start/End Date Editing

Note: For Admin users who need to update contract start and end dates, enhanced guidance has been added to improve the user experience and provide clearer direction for making these updates.

The system now provides helpful tooltips to guide you to the correct location for date modifications:

  • Contract Term & Renewal Section: When hovering over the greyed-out pencil icon, a tooltip displays: "To update Start Date or End Date, navigate to the Doc Imported Metadata Key Term and update either 'External Start Date' or 'External End Date'."
  • Doc Imported Metadata Section: Enhanced tooltip explains the impact of date changes: "External Start/End Date fields override contract Start/End Dates. Date changes may affect Contract Status."

 

Limitations

In this version of the Contract Editor, Admin users will not be able to edit or add data to the following Terms. Note that, the edit icon against these Terms will be greyed out:

  • Document Type
  • Effective Date
  • Contract Term & Renewal
  • Account Name
  • If Contract Type = Amendment
  • Any amended entry
